Registration and Booth Staffing
To ensure that your exhibit space is held for you in the exhibit hall, a 50% deposit must be paid at registration. Full payment is due on 12 May 2010.
Each booth fee includes basic registration for two company representatives, who will be working in the booth during the meeting. In addition to the standard booth package, organizations requiring badges in excess of their allotment must pay the regular registration fee for each additional person. Lunch, fieldtrips, and tickets to social events may also be purchased separately when registration opens in January. A confirmation e-mail will be sent to you to confirm the 50% deposit and to advise your booth number.
This e-mail will also guide you through the registration steps.
Each exhibiting organization is responsible for its equipment and must have an attendant in the booth during the hours the exhibit area is open to the public. Exhibit representatives must wear the official SCB badge at all times while in the exhibit area. Exhibit representatives may pick up their badges at the registration area starting on 3 July 2010.
Cancellation policy
Cancellation before 12 May 2010 obligates the Exhibitor to 50% of the total booth cost, and cancellation after 12 May 2010 obligates the Exhibitor to full payment of the booth fee. Refunds will not be made after space has been assigned and paid for unless the space can be reassigned. Any space not claimed and occupied by 2:00 p.m. on 3 July 2010 may be reassigned to another exhibitor without further notice to the originally scheduled occupant, and all fees forfeited.
Security
Neither the University of Alberta nor SCB maintain insurance covering exhibitors’ property. Protection of exhibitors’ property shall at all times remain the responsibility of the exhibitor. The exhibit area will be closed during non-show hours, but security is not guaranteed. Insurance is to be arranged by exhibitors at their own cost.
Exhibit Description
Exhibitors are requested to submit a 50-word typed description of their exhibit. The description must be received no later than 12 May 2010 so it may be included in the meeting program book. If your booth description is not received by this deadline, the description will appear in a program addendum distributed at registration.
Booth assignments
The meeting web site features a map with the floor plan (http://www.conbio.org/activities/meetings/2010/register/FloorPlan.cfm). This webpage will be regularly updated, allowing exhibitors to make the best choice for their booth location. Numbers will be assigned in the order in which exhibitor registrations are received. A confirmation of the location of your booth will be sent to you as soon as possible. If none of your choices are available, we will contact you to discuss a new booth assignment. The configuration of the exhibit hall may accommodate a maximum of 60 booths.
